The idea of adding communities and online chats for getting feedback sounds good. Do you mind sharing more information about your institution? How do you currently receive complaints and how do you sort them?

amal, before giving you some suggestions, you'd better make clear your website condition:
    The traffic of your website
The size of your customer service team
    The type of your business

When you have clear answers to the above questions, then you can clearly know your requirements. If your business is growing rapidly and the traditional customer supporting way (email or phone) can't meet your needs, or you want to find some more efficient ways to improve customer service, then it's time to use some new channels. Live chat, ticket, knowledge base, forum, help desk software are popular customer service tools. If you decide to use two or more tools, then you'd better choose a provider with all the products you need, such as Comm100. This enables you to track the customer's footprint smoothly.

Why not use a CRM program? You can create surveys and manage email blasts to better connect with your customers. There are several options available at a wide range of prices.

Amal you should provide detailed information about your business to the customers.
Info may be regarding the package, the services, the benefits.
The customeres are attracted by the benefits and schemes only, try to show the customers about the two and the security of money that means if they investing something in your business, they will get good returns.
Try to implement all these and you will find a change.

Well, Online chat can be helpful for customer support. However are you talking more about a "chat room" rather than a 1 to 1 chat with a user?
